In checking around the Web the past few days, it seems there are Virtual Assistants everywhere. Each one has their own individual style, specialty, and way of doing things.
So what makes me different?
A strength that continues to surface over and over for me is the ability to step into a new project or client relationship and put systems in place, making their processes more efficient.
As an example, I had a telemarketing client who was managing several virtual sales reps in addition to his numerous clients and projects. He was taking care of so many different aspects of the business that he was working 18-hour days. He hired me to start handling all of his end-of-day reporting. I collected each sales reps’ hours worked, lead sheets, appointments set, and requests for more information.
With everyone’s information in hand, I set up a system to track all of this data and report it back to my client in a concise, easy-to-read format that only took him a few minutes to review. In addition, I compiled end-of-day summaries for each of his clients which included the hours worked on their project, leads generated, and any appointments that had been set.
My first week on this project took 40 hours to compile all the data and turn it over to my client. The second week, because of the systems I had put in place, took only 20 hours to achieve the same result. Over the course of the next few weeks, as all of the reps and my client became familiar and comfortable with my system, I brought the hours down to only 10 per week.
At this point, the system was entirely in place and could have essentially gone back to my client with huge time-saving benefits to him. However, he decided he liked having all of the processing off of his plate, so he decided to keep me on to handle this aspect of his business. To this day, I spend 5-10 hours per week processing his end-of-day reporting and he never has to give it a second thought.
